Terms

The agreement covering your workspace, what the plans include, and how billing, cancellation, and termination work.

The service

Phonotheca transcribes recorded conversations and keeps them as a searchable, taggable corpus. It is operated by Adesia S.R.L.. Using it means accepting these terms.

Your account

You need a confirmed email address, and you are responsible for what happens under your account and for keeping your password to yourself. One account is one person. You must be old enough to enter a contract where you live.

What you upload

Your recordings, transcripts, tags, and edits stay yours. We claim no ownership over them and take only the narrow licence needed to run the service, which is to store your files, transcribe them, index them for search, and show them back to you.

You are responsible for having the right to upload what you upload. Recording people creates obligations, and consent, ethics approval, and any participant information sheet are yours to obtain and hold.

Acceptable use

  • Do not upload recordings you have no right to process.
  • Do not use the service to build a surveillance or profiling product, or to identify people who did not agree to be recorded.
  • Do not attempt to break, overload, or reverse the service, or to work around the hours included with your plan.
  • Do not resell the service or share one account across a team. Seats are coming, and until then a team needs one account each.

Plans and hours

Every plan meters the same thing, the duration of the audio you transcribe. It is counted once when a transcript lands. Re-reading, searching, editing, and exporting cost nothing and are never limited.

  • Free. 3 audio hours, once, granted once and not refilled.
  • Solo. $12 a month for 20 audio hours a month, reset on your renewal date.
  • Pro. $29 a month for 50 audio hours a month, reset on your renewal date.

Running out of hours pauses new transcription and nothing else. Your archive, search, and export stay open, which is the point of metering hours rather than storage.

Duration is measured from the audio file itself. Where a file misreports its own length we record the real duration once the transcript lands, and that figure is the one that counts.

Payment

Payments run through Creem, which is the merchant of record. Creem is the seller on your invoice, collects the payment, and handles VAT and sales tax, including reverse charge for VAT-registered institutions. Their terms cover the transaction itself.

Prices are in US dollars and exclude tax, which is added at checkout based on where you are. Subscriptions renew monthly until cancelled. Cancelling stops the next renewal and leaves your hours available until the end of the period you have already paid for. We do not pro-rate a partial month on cancellation.

Where consumer law gives you a right of withdrawal, it applies as written, and Creem administers refunds as the merchant of record.

Price changes

We can change prices, and if we do we will tell you at least 30 days before it affects your renewal so you can cancel first. The hours included in a plan can go up without notice and will not go down during a period you have paid for.

Availability

We aim to keep the service running and make no uptime guarantee. Maintenance, third-party failures, and transcription errors happen. Transcription is automatic, so accuracy varies with recording quality and speaker overlap, and transcripts are a draft to correct rather than a certified record. Do not rely on one for a legal or medical purpose without checking it.

The service is provided as it is, without warranties beyond those your local law makes mandatory.

Liability

To the extent the law allows, our total liability in any twelve-month period is limited to what you paid us in that period. We are not liable for lost data, lost profits, or indirect damage. Nothing here limits liability for death, personal injury, fraud, or anything else that cannot be limited by law.

Keep your own copies of anything you cannot afford to lose. Export is built in for exactly this reason.

Ending it

You can stop at any time by cancelling in the billing portal or deleting your account. Deleting removes your content, and that cannot be undone.

We can suspend or close an account that breaks these terms, and where it is reasonable to do so we will warn you first and give you a chance to export. If we close the service entirely we will give at least 60 days notice and keep export working throughout.

Changes

These terms can change. Material changes get 30 days notice by email, and continuing to use the service after that means accepting them. The version on this page is always the one in force.

Law

These terms are governed by the law of Italy, and its courts have jurisdiction. If you are a consumer, this does not remove the protection of the mandatory law where you live.
